Kim reads your free times from EasyPractice and books the client onto the right service in the right calendar. Kim sees bookings and times. Never clinical notes.

What actually happens

Free start times come from EasyPractice with opening hours, breaks, daily booking limits and online-booking rules already applied. We do not derive times from your opening hours, because that would miss exactly those rules.

EasyPractice does not promise in its API to reject an overlapping booking. So we check the time again at the moment the booking is created rather than trusting the write to catch the clash. It is an extra round trip that costs half a second and removes a whole class of error.

If the client already exists in EasyPractice they are matched on phone or email instead of creating a duplicate. New clients are created, if you have allowed that.

LIMITS

What Kim will not do here

We spell this out because it is cheaper for everyone to know up front than to find out with a guest on the phone.

  • Kim cannot reach clinical notes, records or treatment content, and does not ask about them. Bookings and times are the whole surface.
  • Kim books one practitioner per booking. Clients who need two at once are something staff enter.
  • Invoicing, payment and agreements in EasyPractice are left untouched.

About this connection

Does Kim hear why the client is coming?

Kim takes whatever the client chooses to say in order to book the right service and length. It goes on the booking, not into any clinical record, and we never read patient data out of EasyPractice.

Can Kim cancel and move appointments?

Yes, both moves and cancellations are written to EasyPractice. The client can handle it on the phone without a member of staff being there.

What happens with clients who already exist?

They are matched on phone number or email address. The point is to avoid two records for the same person after six months of Kim answering the phone.
