The calendar is already your booking book. Kim reads it to see what is free and writes the booking into the same calendar, where staff are already looking.
You connect the Google account that owns the calendar. After that Kim reads the calendar before every suggestion. A time that already has an event on it counts as full and is not offered.
The booking goes in as an ordinary calendar event with the guest's name, party size and phone number. Nobody has to learn a new interface, and whoever cancels in the calendar frees the time for Kim the same second.
It runs both ways. Block out a morning for stocktaking and Kim stops offering that morning, without anyone telling it to.
We spell this out because it is cheaper for everyone to know up front than to find out with a guest on the phone.
Can Kim see what is in our other events?
Kim reads start and end times to know what is free, and writes new bookings. The contents of your other events are not used for anything else.
What if two guests want the same time at once?
The time is checked against the calendar at the moment the booking is created, not just when it comes up in the conversation. The second guest gets a fresh suggestion rather than a double booking.
Can we move to a booking system later?
Yes. One booking system is active per venue and you switch by connecting a new one under Integrations. The bookings already in the calendar are left alone.
