Kim puts the job on your Ganttic board.

Every bay and every mechanic is a resource. Kim puts the job on one that is free and writes the registration number and mileage straight onto the bar.

What actually happens

Ganttic has no endpoint for free times, so we work them out from the board. A time is free while at least one of your bookable resources has no overlapping job. When Kim says there is room on Thursday, that means at least one bay is free on Thursday.

The job goes in as a task on the resource, and the same booking is also written into VOCA. That way the portal, the statistics and the after-visit follow-up share one list. Ganttic decides availability; VOCA mirrors the booking.

Registration number, mileage and service go into the task name, so they are visible on the Gantt bar without anyone clicking, and into Ganttic's data fields when we found those fields at connect time.

LIMITS

What Kim will not do here

We spell this out because it is cheaper for everyone to know up front than to find out with a guest on the phone.

  • One resource holds one job at a time. If you have a bay where two cars stand in parallel, Kim counts it as one, which is safer but more cautious than reality.
  • Because we work availability out ourselves rather than asking Ganttic, your tasks are what count. A job that is not on the board does not exist for Kim.
  • Kim does not estimate how long a job takes. The length comes from the service you configured, not from a guess made during the call.

About this connection

Do all our resources have to be bookable?

No. You mark which ones Kim may use, so a bay reserved for warranty work can be left out without disappearing from your own plan.

Does Kim see jobs staff entered directly in Ganttic?

Yes, and that is the whole mechanism. Put a job on the board and that time stops being free for Kim, because availability is recomputed from the board every time.

Does the booking also land in VOCA?

Yes. Ganttic is authoritative for availability, but the booking is mirrored into VOCA so statistics and follow-up work off a single list.
